Privacy Policy

Solira Technologies Inc. ("Solira," "we," or "us") builds creator intelligence and email tools for talent agencies. Protecting your agency's information is central to how we build and operate Solira. This policy explains what information we collect, how we use it, and the choices available to you. By using Solira, you agree to the practices described in this policy.

Information we collect

Solira is provided to your agency, and your access is set up as part of your agency's onboarding. We hold your name, work email address, and agency, along with the records your agency keeps in Solira: creator profiles, rosters, brand contacts, and public social-media content and statistics for the creators you manage. We also hold the chats, drafts, templates, reminders, and files you create or upload.

When you connect Gmail or Outlook, you authorize access through Google or Microsoft, and you can revoke it at any time. To power the inbox, we import approximately the previous 12 months of messages and continue syncing new messages going forward. This includes senders, recipients, subjects, bodies, timestamps, and attachment details, along with labels and folders, so your inbox is organized as it is in your mail client. We process attachment contents when a feature you use needs them. Drafts and Spam are never imported. Trash is imported so the Trash folder in Solira matches your mailbox, and it leaves that folder when your mail provider deletes it.

We also collect technical and usage information: browser and device details, pages viewed, feature interactions, access times, and performance and error data. We use cookies and local storage to keep you signed in, remember your preferences, and save drafts. You can manage these through your browser settings.

How we use it

We use this information to provide and personalize Solira, including search, summaries, reminders, drafting, and actions you approve. We use it to keep your inbox organized and in sync with your mail provider, to support you and keep you informed about the service, to keep the service secure, and to understand how Solira is used so we can improve it. We do not sell personal information, and we never use email content for advertising.

We may create and use aggregated or deidentified information that does not identify you, your agency, or any individual creator to understand how Solira is used, measure performance, improve the service, and develop new features. We may retain and use this aggregated or deidentified information for these purposes.

AI features

AI powers search, summaries, reminders, and drafting across Solira. Your emails and Google Workspace data are not used to create, train, or improve generalized or shared AI models. Our AI providers do not use your data to train their models. Email data is used only to provide the features you request and, where applicable, to personalize those features for you. Learning your writing style from your sent messages is optional and under your control. Solira sends email only on your instruction.

Agency privacy

Your agency's private workspace, including emails, chats, and everything derived from them, stays within your agency. We never use it to fill another agency's records, answer another agency's questions, or train models for other agencies. Information leaves your agency only when you share it deliberately through a Solira feature designed for that purpose. This includes Solira Castings and other opt-in features. When your agency chooses to participate in a casting or otherwise opts in, Solira may use the relevant creator profiles, roster information, rates, campaign information, and other information you make available to identify, evaluate, and recommend creators for applicable brand opportunities. Opting in does not by itself make your agency's nonpublic information visible to a brand or other third party. We disclose nonpublic information outside your agency only when your agency separately directs or authorizes us to do so through a Solira feature.

The only information reused across agencies is public information and the professional contact details our enrichment provider returns for a business email address. Neither comes from your mailbox or your workspace. Within your agency, an imported mailbox is private to the person who connected it.

Security

Data is encrypted in transit and at rest, and each agency's data is isolated from every other agency's. Mailbox access is granted through Google or Microsoft sign-in, so Solira never receives your password, and you can disconnect at any time. Our staff do not access your email content except with your explicit permission to address a specific support request, when necessary for security purposes, or when required by law. Solira processes email automatically to power the features you use, and access to other account information is limited to what support, security, and legal compliance require.

Retention and deletion

Email, chats, and templates are retained while you use Solira, unless you delete them earlier. If you disconnect a mailbox, we retain its imported copy for 30 days to allow reconnection, then delete it. Delete inbox data in Settings removes imported email and its inbox records. When your agency's workspace is closed, or you ask us to delete your data, we remove active copies within 30 days and backups expire within 90 days. Temporary files and diagnostic logs are retained for up to 30 days, and security and delivery records for up to 90 days.

Deleting data in Solira does not delete the original messages at your mail provider or copies already held by your recipients. Images in messages you send are hosted so recipients can view them, and they follow your account's retention. A legal obligation or a documented incident may require us to retain specific records for longer.

Sharing

We share information only in the following circumstances. Service providers run Solira on our behalf for hosting, storage, search, email connectivity, AI, and analytics, and they may use your information only to provide those services to us and are required to keep it confidential. When your agency turns on contact enrichment, business email addresses and domains are looked up with a contact-enrichment provider to fill in professional details such as title and company. When you send, export, or share something using a Solira feature, the shared content takes on the visibility of its destination. We may also disclose information when required by law, to protect Solira and our users, or as part of a merger, acquisition, or sale of assets.

Solira is based in the United States and uses service providers in other countries, including France. When information crosses borders, we rely on appropriate legal safeguards for the transfer.

Your rights

You can access and correct the personal information we hold about you, ask us to delete it, or request an export. You can disconnect a mailbox at any time in Settings, or revoke Solira's access from your Google or Microsoft account; work accounts may need an administrator. Where applicable law provides for it, you can object to certain processing, withdraw consent, or contact a data-protection authority. To exercise any of these, email hey@getsolira.com. We may need to verify your identity before acting on a request.

Google user data

Our use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including Limited Use requirements, and the Google Workspace user data and developer policy. Google-derived information is not sold, used for advertising, or used to train general-purpose AI models. Google's restrictions on use, transfers, and human access take precedence over broader statements in this policy.

We will post updates here with a new effective date, and we will notify you of material changes.
